Answers to the most common questions

Getting Started

How do I create a new wedding?
After logging in, click your name in the top-right corner and go to Dashboard. There you'll find a button to create a new wedding. The setup wizard will guide you through the first steps — style, priorities and an initial plan.
Can I invite someone to help plan?
Yes! In Wedding Settings you can invite co-planners by email. They get access to all planning tools but cannot delete the wedding or change the plan.
What is the difference between Free and Pro?
The Free plan includes guest management, budget tracking, location planning and menu planning. Pro unlocks managed invites & RSVP, vendors, seating plan, tasks, timeline, Save the Date editor, reports, wishlist, photo gallery and decorations & colors.

Budget

What do Planned, Actual and Paid mean?
Planned is your estimated cost before the contract is signed.
Actual is the real final price from the vendor.
Paid is the amount you have already transferred. The Outstanding column shows what is still owed.
Why do the budget suggestions exceed my total budget?
The wizard generates market-rate suggestions based on typical German wedding prices. If the total exceeds roughly 85 % of your budget the amounts are scaled down proportionally, targeting about 82 % utilisation — leaving a buffer for unexpected costs.
Can I change the payment status later?
Yes. Edit any budget item at any time. Once you set the status to Partial Payment or Paid, the Actual Cost and Amount Paid fields appear so you can enter the exact amounts.

Guest Management

How do I send RSVP invitations?
Go to Guests → select the guests you want to invite → click Send Invitations. Each guest with an email address receives a personal link. You can also send to all pending guests at once.
Can guests update their RSVP after responding?
Yes. Guests can submit a change request via their personal RSVP link. You will see a notification and can accept or decline the change.
What is the RSVP deadline?
You can set an RSVP deadline in Wedding Settings. Guests will see the deadline on their RSVP page. Seven days before the deadline all still-pending guests receive an automatic reminder.

Wishlist

How does the wishlist work?
Add items to your wishlist with a title, optional link and price. Once you activate the list, a public link is automatically included in all RSVP invitation emails so guests can see what you would like as a gift.
Can guests mark items as reserved?
Yes. On the public wishlist page guests can mark an item as reserved. This prevents duplicate gifts without revealing who reserved it.

Tasks & Timeline

How are task deadlines calculated?
When the setup wizard generates tasks it calculates deadlines relative to your wedding date (e.g. Book venue → 12 months before). If the calculated date has already passed the deadline is set to today so nothing appears overdue from the start.
How do I mark a task as done?
Click the checkbox on the left side of any task. The change is saved instantly. You can undo it at any time by clicking again.

Save the Date

How do I publish my Save the Date page?
Go to Save the Date in the sidebar. Edit your page, add photos, write your love story and adjust colors. When you are happy with it, click Publish. Your guests can then access the page via the unique public link.
Can I add my own photos to the page?
Yes. In the Save the Date editor you can upload couple photos that appear in the hero section and along your love story timeline. Supported formats are JPEG and PNG.
What is the love story section?
The love story is a timeline of milestones in your relationship — your first date, the proposal, and any other moments you want to share. Each entry can have a title, description, date and photo.

Vendors

What information can I store for a vendor?
For each vendor you can save the name, category (e.g. Photographer, Caterer, Florist), contact details, contract notes and the payment status. This keeps all your supplier information in one place.
Is the vendor list linked to my budget?
Not automatically — but you can create a matching budget item for each vendor to track planned vs. actual costs and payments independently. The two lists work side by side.

Seating Plan

How do I create my seating plan?
Go to Seating in the sidebar. First create your tables with a name and seat count. Then drag guests from the unassigned list onto a table, or use the auto-assign feature to fill tables automatically.
Can I print the seating plan?
Yes. Open the Seating Report under Reports in the sidebar. It shows a printable overview of all tables with the assigned guests and their dietary preferences — ready to hand to your venue or caterer.

Photo Gallery

How can guests upload their photos?
In the Photos section you will find a QR code and a unique upload link. Share these with your guests — for example by printing the QR code on table cards. Guests can upload photos directly from their phone without creating an account.
Can I download all photos at once?
Yes. In your gallery there is a Download All button that packages all uploaded photos into a single ZIP file for you to save.

Menu Planning

How does menu planning work?
Go to Menu in the sidebar. Create courses (e.g. Starter, Main Course, Dessert) and add dishes to each course. For each dish you can define dietary variants so you always know which options are available for guests with dietary restrictions.
Can I share the menu with my caterer?
Yes. You can invite your caterer as a co-planner in Wedding Settings, giving them read access to the menu and guest list. Alternatively, take a screenshot or note down the details from the menu overview.

Account & Data

How do I export or back up my data?
Staff members can trigger a full backup from the Staff → Backups panel. The backup includes all wedding data, guests, tasks, budget items and more as a JSON file.
How do I delete my wedding?
Go to Wedding Settings → scroll to the bottom → Delete Wedding. This action is permanent and cannot be undone. All data including guests, tasks and budget items will be removed.
What happens when the wedding date passes?
The day after your wedding date, your wedding is automatically archived. This means:
  • All your planning data (guests, tasks, budget, etc.) remains saved and readable.
  • The public Save the Date page is automatically unpublished.
  • The public wishlist link is deactivated so guests can no longer access it.
  • All members of the wedding receive an email notification about the archiving.
You can still view your complete wedding data in read-only mode from your dashboard.
